Quick Answer
A free asphalt estimate template in Excel calculates tonnage from area, thickness and density, then adds material, labor, equipment, overhead and profit to reach a selling price. It works for a few simple jobs. Switch to software when you manage many bids or several estimators, or want estimates linked to scheduling and billing.
What an Asphalt Estimate Template Should Include
A good paving estimate follows the same logic on every job. The template below covers four parts.
| Section | Inputs You Enter | What It Calculates |
|---|---|---|
| Quantity | Area, compacted thickness, mix density, overrun allowance | Tons to order and coverage per ton |
| Direct costs | Mix and delivery price per ton, crew hours and rate, equipment hours and rate, other costs | Material, labor and equipment cost |
| Overhead | Overhead percentage of direct cost | Overhead cost |
| Profit and price | Target profit margin | Selling price, profit, price per sq ft and per ton |
How to Calculate Asphalt Tonnage
Asphalt is sold by the ton, so every estimate starts by converting area and thickness into weight. Use this formula:
Tons = Area (sq ft) × Thickness (inches) ÷ 12 × Density (lb per cubic foot) ÷ 2,000
A common planning density is about 145 lb per cubic foot, though your mix design may differ. At that density, one ton covers roughly 165 square feet at 1 inch thick and about 82.5 square feet at 2 inches. Add an overrun allowance, often a few percent, for uneven grade, edges and truck variance.
Worked Example: 10,000 sq ft Parking Lot Overlay
These figures are illustrative, so replace them with your own quotes and rates.
| Line | Calculation | Amount |
|---|---|---|
| Tons before allowance | 10,000 × 2 ÷ 12 × 145 ÷ 2,000 | 120.8 tons |
| Tons to order (5% overrun) | 120.8 × 1.05 | 126.9 tons |
| Material | 126.9 × ($110 mix + $20 delivery) | $16,494 |
| Labor | 24 crew hours × $180 | $4,320 |
| Equipment | 16 hours × $140 | $2,240 |
| Other costs | Traffic control, striping | $500 |
| Total direct cost | Sum of the above | $23,554 |
| Overhead (12%) | $23,554 × 12% | $2,826 |
| Selling price (15% margin) | ($23,554 + $2,826) ÷ 0.85 | $31,036 |
| Profit | Price minus direct cost and overhead | $4,655 |
| Price per sq ft / per ton | $31,036 ÷ 10,000 and ÷ 126.9 | $3.10 / $244.62 |
Margin vs Markup: The Mistake That Costs Contractors
Margin is a share of the selling price, while markup is a share of cost. To reach a target margin, divide cost by (1 minus the margin). A 15% margin equals a markup of about 17.6%. Adding a flat 15% markup to cost produces only a 13% margin, so bids priced that way quietly leave profit on the table.

Where Spreadsheets Fall Short
Spreadsheets are free and flexible, but they carry structural risks. Trimble cites research finding that around nine in ten spreadsheets contain errors. A Software Advice survey, reported by Sage, found that estimating software users miss the mark less often and turn bids around faster than spreadsheet users.
Six Signs It Is Time to Switch to Software
- You copy data between takeoffs, the spreadsheet and proposals. Every transcription step adds a chance for error.
- Version control is breaking down. You cannot tell which version the client received.
- More than one person estimates. Each estimator ends up with a slightly different file.
- You re-type won bids into schedules and invoices. The estimate should flow into the job.
- You cannot compare actual job costs to estimates. Without that, you repeat underpriced work.
- One person owns the spreadsheet. If they leave or get sick, the system stops working.
Excel Template vs Estimating Software
| Factor | Excel Template | Commander ERP |
|---|---|---|
| Cost | Free | $349, $999 or $1,999 per month; 30-day free trial |
| Best for | A few simple jobs and one estimator | Growing bid volume and several users |
| Estimating | Manual formulas you maintain | Unit-price calculations and historical project data |
| Connected to jobs | No | CRM, scheduling, work orders, job costing and billing |
| Proposals | Formatted by hand | Created in the same system as the estimate |
Switch gradually. Run two or three live bids in the new system alongside your spreadsheet before retiring it, and use a free trial to test it on real jobs.

Frequently Asked Questions
Is there a free asphalt estimate template?
Yes. The Excel template above calculates tonnage, material, labor, equipment, overhead, profit and selling price for a paving job, and you can use it at no cost.
How do you calculate asphalt tonnage?
Multiply area in square feet by thickness in inches, divide by 12, multiply by density in pounds per cubic foot, then divide by 2,000. Add an allowance for overrun.
How much asphalt do I need for 1,000 square feet?
At 2 inches thick and 145 lb per cubic foot, 1,000 square feet needs about 12.1 tons before any overrun allowance.
What markup should a paving contractor use?
It depends on your overhead and target profit. Calculate price as cost divided by (1 minus margin), and remember a 15% margin equals about a 17.6% markup.
When should a contractor switch from Excel to estimating software?
Consider switching when you manage many bids, use several estimators, struggle with versions, or want estimates to flow into scheduling, job costing and billing.
